Importance/Difficulty Weighting System for Load Balancing

This proposal introduces a systematic approach to assign importance and difficulty levels with Load Balancing based on subject types. By implementing a weighted allocation system, we can better distribute workload, optimize resource utilization, and improve response efficiency across our customer service team.

Current Challenge

Currently, Load Balancing allocation follows a uniform distribution model where each team member receives an equal number of requests regardless of subject complexity or strategic importance. This approach fails to account for:

  1. Varying complexity levels across different subject types

  2. Different strategic importance of different request categories

  3. Individual agent expertise and capacity

  4. Fluctuating volume across different subject categories

Proposed Solution

Implement a weighted allocation system that assigns importance and difficulty scores to conversations based on subject type, allowing for:

  1. Weighted Distribution: Allocate mailboxes based on complexity and importance rather than pure volume

  2. Balanced Workload: Ensure team members handle an equitable workload accounting for difficulty

  3. Priority Management: Address high-importance requests efficiently, e.g. based on Time Goals

  4. Resource Optimization: Match request types to appropriate skill levels
